Privacy information

1. Information we collect

Depending on how you interact with Fairway, we may collect your name, email address and telephone number; your event date, venue and venue address; the package selected; your event requirements; and other information you choose to give us.

We may also keep correspondence with you, booking, payment and refund status, transaction references and related payment information received from Stripe. Where applicable, ordinary website operation and security may generate technical information such as IP addresses and request logs.

We do not collect or store your full payment-card details on the Fairway website. Card-payment information is entered on and handled through Stripe's hosted payment service.

2. How and why we use information

Contracts and steps before a contract

We use information to respond to booking enquiries, check or discuss event arrangements, create and administer bookings, communicate about the booked service and deliver the services you request. We do this where necessary to enter into or fulfil our contract with you.

Legal obligations

We may use and retain information to meet legal obligations, including accounting and tax requirements, legally required fraud-prevention measures and responding to lawful requests.

Legitimate interests

Where appropriate, we use limited information to administer the business, maintain appropriate records, protect our systems, equipment and legal rights, prevent misuse or fraud, and handle complaints and disputes. We consider your rights and interests before relying on this basis, and only use information where our interests are not overridden by yours.

Marketing

We do not rely on consent to administer ordinary bookings. If we introduce marketing, we will update this information and put in place the notices, consent and opt-out arrangements required for that marketing before it begins.

3. Payments through Stripe

When you choose to book a package online, you are taken to Stripe's hosted checkout. Stripe processes the payment information you enter there. Fairway may receive information about the transaction, such as your name, contact information, amount paid, payment status, transaction reference and information needed to administer your booking or refund.

4. Who we share information with

We share information only where reasonably necessary with:

• Stripe, for payment processing;
• website hosting and technical service providers;
• email and communications providers;
• professional advisers, such as accountants, insurers or legal advisers, where necessary;
• venues or suppliers where required to fulfil your event and where appropriate; and
• regulators, courts, law enforcement or public authorities where legally required.

We do not sell your personal information.

5. International processing

Some technology and payment providers may process information outside the UK. Where data-protection law requires it, appropriate safeguards are used to protect information transferred internationally. You can contact us for further information about safeguards relevant to your information.

6. How long we keep information

Enquiries that do not lead to a booking will normally be retained for up to 12 months after the last meaningful contact, unless there is a reason to retain them for longer.

Booking, payment, invoice and associated business records may be retained for up to six years, or longer where required by law, tax or accounting requirements, an ongoing dispute or another legitimate legal reason.

Information that is no longer required will be deleted or anonymised as appropriate.

7. Your data-protection rights

Depending on the circumstances, you may have the right to:

• access your personal information;
• correct inaccurate information;
• request deletion or restriction of use;
• object to certain processing;
• receive or transfer certain information where applicable; and
• withdraw consent where processing is based on consent.

These rights are not absolute: they depend on the circumstances and the lawful basis for using the information. Withdrawing consent does not affect the lawfulness of processing before withdrawal.

8. Data-protection complaints

If you have a concern about how we have used your personal information, please contact us at bookings@fairwayminigolf.co.uk and mark your message “Data protection complaint”.

We will acknowledge a data-protection complaint within 30 days and will take appropriate steps to investigate it, keep you informed where necessary and communicate the outcome without undue delay.

You also have the right to complain to the Information Commissioner's Office (ICO). You do not have to complain to Fairway before approaching the ICO. See how to make a complaint to the ICO.

9. Cookies and website technologies

The Fairway website does not currently use analytics, advertising or behavioural tracking cookies, tracking pixels, or non-essential browser storage. We do not use localStorage or sessionStorage to store visitor information.

Our event video and fonts are self-hosted. The video is not embedded from YouTube or Vimeo. Ordinary hosting and security operations may process technical information as described above.

Stripe operates separately after you follow a payment link and may use cookies and other technologies under its own policies.

10. Changes to this notice

We may update this privacy information when our services, suppliers or use of information change. The last updated date will appear at the top of this page.
